Purpose
The Office Assistant performs a variety of specialized duties in support of the maintenance of operations, enrollment, and accounting records.
Nature & Scope:
The Office Assistant is responsible for performing duties related to the General Office, Student Records, Accounting, and all other duties assigned. The Office Assistant is the clerical support in the main office for all aforementioned areas. The Office Assistant must be familiar with the well-defined guidelines involved in student registration and programming, policies and regulations involved in student accountability, and school-wide operations. The Office Assistant works to create a school culture that emphasizes quality, continuous improvement, teamwork, and high performance.The incumbent interfaces regularly with students, administrators, teachers, and parents. The work requires a high level of professional decorum, calmness and the ability to serve as a role model to young people. The work requires the handling of sensitive materials and a commitment to maintain the highest levels of confidentiality. The incumbent does not have supervisory responsibilities, but may provide training or direction to staff, students and volunteers.
Essential Job Functions:
- Conducts oneself in the best interest of students, in accordance with the highest traditions of public education and in support of the school’s philosophy, mission, and vision
- Verifies attendance count against classroom list; compiles count of students for accurate lunch count
- Establishes and maintains computerized record keeping systems, ensuring proper tracking and accuracy
- Maintain, update, retrieve various types of files, logs and records, both digitally and manually
- Assist with file management and digitizing archives
- Provides confidential secretarial and support services for administrators, staff, parents and students
- Performs simple personal computer and word processing related handling of forms, lists, etc.
- Assist with snack and lunch program
- Assists with billing, creating purchase requisitions, collection of receipts and invoices
- Counts cash receipts and prepares deposit slips
- Inputs financial transaction detail into computerized accounting systems
- Assists with maintaining inventory of office supplies
- Answers telephone and refers callers or takes messages for return call
- Assists NSLP Coordinator, Registrar, Principal, Vice Principal and other Staff Members as deemed necessary and feasible
- Greets visitors and provides reception services including receiving and routing incoming phone calls
- Maintains effective working relationships with other members of the department as well as other school personnel and community members, including those from diverse cultures or backgrounds or those who speak limited or no English
- Complies with all procedures outlined in the Code of Professional Conduct and Annual Notices for Education Practitioners, Teachers, Support Staff, Administrators, Substitutes Handbook and all other Hawaiʻi Department of Education School District Policies and Procedures
- Assist with various tasks and projects as needed, including those outside of regular duties, to support overall school operations

Required Qualifications:
- Higher education preferred
- Must possess High School diploma or GED
- One (1) year of specialized experience
- Accounting / QuickBooks experience a plus
- Must possess excellent written and oral communications skills.
Working Conditions:
The Office Assistant works primarily indoors in an office environment. The work environment is often controlled and quiet, but will also frequently include moderate to loud noise. The work environment may include exposure to unpleasant interior temperatures, dirt, and communicable diseases as well as distraught or difficult individuals. The work requires regular focus on a computer screen and precise control of fingers and hand movements. The incumbent must be able to sit, stand, and walk for long periods of time. Bending, stooping, kneeling and lifting up to 25 pounds and may also be required on occasion.
Work Hours
To be determined based on school needs. The core office hours are between the hours of 7:00 AM – 3:30 PM, Monday through Friday. Occasional travel may be required.

To be determined based on experience and qualifications in accordance with applicable collective bargaining agreement.

All Charter School Employees are considered year to year temporary hires and employment is contingent upon funding and student enrollment.
